Truckfile is the leading maintenance document and inspection data store with a very comprehensive vehicle scheduling system. The rapidly expanding secure data base stores information on 90,000 registered vehicles, three million scheduled events and an average of 3000 uploads per week from 200 workshops. Since 2006 Truckfile has electronically stored thousands of vehicle inspections. Conforming to VOSA’s Guide to Maintaining Road Worthiness and more recently with the latest VOSA publication for the electronic storage of information we are at the forefront of expanding the service with VOSA’s guidance.

The new expanded Truckfile Vehicle Management System extends the range of Truckfile encompassing all the main workshop functions. The software uses the same national internet data base as the Truckfile Electronic Inspection System where we make sure the data on every vehicle is accurate and no vehicle is duplicated. Authorised users log onto the system using a secure encrypted login and password. The internet can now be used as a secure storage medium for a limitless amount of information. Truckfile manages this information for its users and makes sure any exceptions to normal operating procedures are reported to the appropriate person. Using managed exceptions, such as brake linings low, ensures the user is not swamped with information, but information that requires action is swiftly acted upon.

The workshop system includes all the elements needed to run a very efficient operation. The system has been developed with our users to make sure all the elements seamlessly fit together. This is a very comprehensive system with job sheets, technician measurement, workshop control, standard jobs in electronic format, a job builder to create jobs in an electronic format, automatic workshop scheduling, parts and invoicing. Users can still print out job sheets for allocation to technicians but Truckfile VMS takes the next logical step, fully paperless jobs on screens in the workshop. The jobs can be created from the extensive job data base within the system or can be created almost instantly by a new job building wizard. Truckfile can take a scheduled event such as a vehicle inspection, create it in the workshop control and allocate it to a technician in the workshop. The technician then completes the job on a PC or Touch screen with automatic references to faults found and rectifications carried out. Add parts as necessary and passes the completed job back to the workshop controller for QC sign off, all electronically. This is then passed for invoice to the customer. This is a complete cycle without the use of any pen or paper.
